For CPAs, controllers & payroll bureaus

Every client's certified payroll. One login.

File certified payroll for your whole book from a single account. Switch between clients, import the payroll they already ran, and hand back a file-ready WH-347 or state form — without re-keying a line or juggling a portal per client.

Add your first client and run a filing free. Each client's data stays walled off from every other — and from every other firm.

What managing a book of clients costs you today

The work isn't the filing. It's everything around it.

Certified payroll across several clients turns into a stack of logins, re-typed payroll, and deadlines you track by hand. That overhead is the part PayrollPenguin removes.

A different login for every client

Today each client means another portal, another password, another payroll export to chase down. You lose an afternoon just getting in the door.

The same payroll, keyed twice

Your client ran payroll. Then someone re-types it into a certified-payroll tool, line by line, every week, for every job. That re-entry is where the hours — and the mistakes — pile up.

Every client on a different deadline

New Jersey is one cadence, New York another, California another still. Tracking who owes what, when, across a book of clients, is a spreadsheet you maintain by hand.

One account, every client

Built for a book, not a single shop.

01

Add each client once

Set up every company you file for under your own account. Their employees, jobs, and saved payroll mappings live in their own space — set up once, reused every period.

02

Switch clients, not logins

Move between clients from one screen. Import the payroll they already ran — QuickBooks, ADP, Gusto, Paychex, or a CSV — look over what we flag, and the right state form builds itself.

03

File-ready, with a clear record

Each client’s WH-347 or state file comes out ready to send, with a logged record of who reviewed and certified it. Nothing files itself; sending it is always a deliberate step.

Whatever state your clients work in

The hard state forms, all in one place.

The state electronic formats most tools skip — New Jersey's Wage Hub and MW-562, New York's MPWR XML, California's eCPR — built to spec and checked before they're shown as ready. Every paid plan includes all of them.

Many clients, kept apart

Your clients' data, sealed off — and on the record.

When you hold Social Security numbers and pay for a dozen companies, separation and a clear trail aren't niceties — they're the job. PayrollPenguin treats them that way.

Walled off per client
You only ever see the client you’ve switched into. No client’s data bleeds into another’s — checked every release.
Never stored in full
Full Social Security numbers are never stored by default — only the last four digits, for every client you manage. Connected payroll accounts are encrypted.
Supplied only when a form needs it
If a state form requires the full number, it’s provided at export — used in memory, logged, and discarded.
On the record
Who reviewed and certified each client’s report, and when — logged, so there’s always a trail to point to.

Questions, answered plainly.

Can I manage all my clients from one account?+

Yes. That’s the whole point of the firm view. You add each company you file for, then move between them from a single login — no separate portal or password per client. Each client keeps its own employees, jobs, and saved payroll mappings.

Is each client’s data kept separate?+

Yes. Every client company is sealed off from every other one — you only ever see the client you’ve switched into. Full Social Security numbers are never stored by default — the app keeps and shows only the last four digits — connected accounts are encrypted, and every report opened or certified is logged.

Which states can I file for my clients?+

Federal WH-347 (which covers all 50 states and DC for federally-funded work) plus the states with their own distinct mandated format — New York MPWR XML, New Jersey Wage Hub CSV with the MW-562, California DIR eCPR XML, Washington L&I, Illinois CTP, Pennsylvania LLC-25, Massachusetts DLS, Connecticut WWS-CP1, Minnesota DLI, Nevada, Rhode Island, and AASHTOWare for state DOT work. Each is built to its own official spec.

Do you guarantee my clients’ filings are compliant?+

No. PayrollPenguin is a reporting and formatting tool — not a compliance guarantor or legal advisor. It puts your client’s own numbers into each official form exactly to spec and flags anything that looks off. The authorized signer certifies each filing under their own name, and the awarding agency reviews it. That split is what keeps everyone honest about what the tool is.

Do my clients have to switch payroll systems?+

No. They keep ADP, Gusto, QuickBooks, Paychex, or their spreadsheet. PayrollPenguin does the one hard thing — the correct certified payroll filing — and leaves their payroll where it is.
